Terms and Conditions
Booking Fee
A minimum deposit of $15 per head/guest to be paid within 7 days of making the initial reservation if you wish us to hold this date for you. This deposit amount will be fully deducted from the final bill. 50% of Function estimated total is required 12 weeks before the event. There will be no refunds due to reduction in numbers after this time – extra guests will be charged full price.Final payment for the Bar (in the case of an open bar) and any extra charges will be made at the end of the function.
Cancellations
Cancellations made more than 3 months before the event will incur an administration fee of $100. For the period 2 to 3months before event a cancellation fee of $10 per head on estimated numbers will be charged. Less than 8 weeks notice will incur full penalties i.e. all deposits will be forfeited.
Venue Hire
$1,500 for a Private Venue Hire fee.
Above fees etc. do not include for floral centrepieces for tables, extra restaurant décor, flowers, balloons or special décor arrangements. These would be charged at extra rates or clients can arrange these themselves. Local florists can be commissioned for elegant floral arrangements which we would be happy to assist with contact nos. etc.
Times
All functions have a limit of 6 hours with an extra 30 minutes allowed for wrap up and departure of guests. Arrangements may be made to extend these times for an additional fee, but not beyond midnight. Due to licensing laws, functions must close at midnight, last order on the bar will be 11.30. Music off by 11.30 pm in consideration of our neighbours.
B.Y.O
Vaima does not permit BYO. Wines can be chosen from our Wine Menu, special requests can be made for wines that are not on our list.
Damages
Payment for repairs to and replacement of any damage to property or breakages by guests will be the full responsibility of the client
Agreement/Contract
Please read all terms and Conditions carefully – by paying the confirmation deposit, the clients indicate that they agree to the above terms and conditions. We would appreciate your acknowledgement that you understand our Terms and Conditions.
